Property Maintenance & Capital Improvements

 

MB Management continuously stresses the importance of promoting the attractiveness and appeal of each of our managed properties in order to enhance property marketability.  In addition, we clearly recognize that the maintenance and care of the physical condition of each property in our asset and management portfolio is of utmost concern. 

 

We conduct an ongoing property assessment and capital improvement program to ensure that the integrity of each property is preserved and its value increased.  In many cases, a comprehensive long-term capital needs assessment and plan is developed which serves to identify a property’s overall condition, identify short and long term capital improvement requirements and costs, establish priorities, and determine the effect of the implemented improvements upon the property’s short and long-term financial position.

 

Unlike most management companies, MB Management Company has a professional Technical Services Division staffed by a Specialist who has been assigned to complete comprehensive property condition assessments that have been used as a basis for establishing adequate ongoing reserve funding levels, prepare short and long-term plans to meet capital needs requirements, fully coordinate and supervise all phases of large improvement projects, and provide continuous support and training to maintenance staff in the areas of building, grounds, and mechanical systems maintenance and repair including the establishment of comprehensive preventative maintenance programs. 

 

The Technical Services Division has conducted a number of cost effective short and longer term energy and water conservation projects resulting in substantial savings for property owners.  In addition, our Technical Services Specialist plays an integral role as part of the property’s Quality Assurance Review to ensure that each managed property’s capital improvement and preventative maintenance systems are being effectively and systematically administered during the year.

 

Regular Maintenance Program

 

MB Management Company strongly believes that the strength of its maintenance systems underscores its ability to enhance the value of each property and enable its residents to enjoy their living arrangements.

 

Maintenance  policies, procedures, and important reference material are all contained in a comprehensive Maintenance Manual which is used by our maintenance staff as a specific guide in the planning and execution of an overall property maintenance program.

 

The diligence which we apply to our property maintenance programs is primarily responsible for our achievement of an average inspection score of 90 for the 19 properties that are subject to HUD’s Real Estate Assessment Center inspection process.

 

Preventative Maintenance Program

 

MB Management Company’s preventative maintenance program represents a systematic and planned effort to incorporate building structure, equipment, mechanical, plumbing and electrical systems, and site work onto a comprehensive maintenance system.

 

Physical inspection surveys of each item on site are completed identifying all pertinent information for each item to be serviced including a recommended maintenance servicing approach and scheduling by the manufacturer.  A service frequency (daily, weekly, monthly, semi-annually), scheduling and responsibility (i.e. in-house, contractor) is then determined for each item using the equipment manufacturer’s recommendations, state and city law, insurance company requirements or the Maintenance Supervisor’s knowledge and experience with the particular equipment being serviced.

 

The goal of the property’s preventative maintenance program is to establish a system that works effectively.  The preventative maintenance system is not a static one.  The preventative maintenance system requires constant attention, upgrades, corrections, and adjustments.  As new system and/or equipment items are added, the preventative servicing schedule and responsibility  will be incorporated into the system.

 

Planned and Recurring Maintenance

 

Planned and recurring maintenance responsibilities for the property is systematically undertaken according to a defined schedule or regular pattern.  This may be in the form of a daily, weekly, monthly, seasonal or annual schedule.  Every effort is made to utilize the services of the maintenance staff to complete these planned property repairs.  The Maintenance Supervisor and the Site Manager communicate closely on a daily informal and weekly formal basis in order to ensure the development of daily, weekly, and monthly schedules to ensure that priority repair and maintenance work is consistently addressed.  This provides for the assignment and completion of pre-determined priorities, special projects and the proper scheduling of planned apartment turnover work.
